Privacy Policy

What we collect when you contact us, why we have it, and what we do with it. Written to be read, not to be scrolled past.

What we collect

When you submit the contact form on this website, we collect the information you type into it: your name, email address, phone number, the address of the property you are asking about, which services you are interested in, and whatever you write in the message field. We also record which page you arrived from, so we know how you found us.

That is the whole list. There is no account to create, and we do not ask for payment details anywhere on this website.

If you go on to become a client, we keep the records any contractor keeps in order to do the work and bill for it: your contact details, the jobs we perform at your property, estimates and change orders, invoices and what has been paid against them.

Why we have it

To call you back. That is the entire purpose of the contact form — a request for work that nobody responds to is worthless to both of us.

For clients, we use your information to schedule and perform the work, to coordinate the subcontractors on your job, to produce estimates and invoices, and to keep the accounting records a business is required to keep.

We do not sell your information. We do not share it with advertisers, and we do not use it to build a marketing profile of you.

Who else sees it

Keystone Premier LLC is a small business, and access to client records is limited to the people who need it to do the job.

The software we use to run the business processes your information on our behalf. We use a hosting provider to serve this website, a database provider to store records, an email provider to send notifications and invoices, and an accounting system to keep our books. Each of these handles your data only to provide that service to us.

Subcontractors working on your property are given what they need to do their work — typically your name, the property address, and the scope of the job. They are not given your billing history.

We will disclose information where the law requires it, and where it is necessary to establish or defend a legal claim.

Our accounting system

We keep our books in QuickBooks, and our project management software connects to our QuickBooks account so that what QuickBooks has already recorded can be seen alongside the job it belongs to.

That connection lets the software read our own business records — customers, invoices and payments — out of QuickBooks. It runs in one direction: the software does not create, change or delete anything in QuickBooks. It is authorised by us, it can be disconnected by us at any time, and disconnecting it removes the stored authorisation.

The connection does not give any third party access to your information beyond the accounting provider itself, and it does not give us access to anything you have not already given us directly.

How long we keep it

If you contact us and we do not end up working together, we keep your enquiry while it is still useful to follow up on, and delete it on request at any time.

If you become a client, we keep job and financial records for as long as we are required to — tax and business records in the United States generally need to be retained for several years, and warranty questions about work we performed can arise long after the job is finished.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email Joel@keystonepremierllc.com and we will respond.

Where we are legally required to retain a record — a paid invoice, for instance — we will tell you that rather than quietly keeping it.

If we ever send you a marketing email, it will have an unsubscribe link and that link will work. Emails about a job you have hired us for are not marketing and will continue.

Security

Information is transmitted to this website over an encrypted connection and stored in a database that is not publicly reachable. Access requires a login, and the systems we use enforce that at the database level rather than only in the application.

No system is perfect, and anyone who tells you otherwise is selling something. If a breach affects your information, we will tell you.

Children

This website is for people hiring a contractor. It is not directed at children, and we do not knowingly collect information from anyone under 13.

Changes to this policy

If we change how we handle your information, we will update this page and change the date at the top of it. Material changes will be described here rather than quietly folded in.
